A project quotation starts with a clear understanding of the site and the requested supply. You do not need to have every detail finalised for an initial discussion, but marking confirmed facts and open questions makes the next step easier.

Describe the project

State whether the requirement is for a shop, office, residential development, industrial space, outdoor area or another application. Provide the city or delivery location, approximate floor area and the planned installation or procurement timeline.

Attach useful information

If available, include a floor plan, reflected ceiling plan, fitting schedule, bill of quantities, photos of the space or a list of existing product references. Remove confidential customer or building information that you are not authorised to share.

Separate confirmed selections from open choices

If the fitting has already been specified, include the model, quantity and applicable technical requirements. If selection is still open, describe the intended task, mounting, light appearance and any performance or compliance requirement that the designer has documented.

State the order and delivery details

Record quantities by item, preferred delivery date, whether supply is phased, the delivery address and any packaging or documentation needs. State whether you are asking for product supply only or whether a separate service scope is required.

Confirm decisions with the right people

The project owner, designer, electrical contractor and purchasing team may each be responsible for different parts of the requirement. Have technical specifications, site suitability and applicable rules checked by the appropriate qualified person before placing the order.

What ALWYS needs to start a discussion

Send the product list or requirement sheet, quantities, location, contact details and target timeline. The team can review the requested categories and discuss availability and pricing. Mark unknown specifications clearly rather than guessing.

Use a clear subject line

A useful enquiry might include the project type and city, followed by a short list of the required product categories. Keep drawings and documents named clearly so the sales team can find the relevant information during follow-up.
