How to Prepare a Lighting BOQ for a Commercial Project

A better lighting bill of quantities starts with a room schedule, fitting type, specification, quantity, accessories, installation notes and delivery milestones.

A bill of quantities (BOQ) helps a supplier understand what is required and helps the project team compare quotations consistently. A clear BOQ does not have to be complicated, but it should identify the fittings accurately.

Start with room or area references

List each space separately—for example, reception, office, aisle, stairwell, parking area or warehouse zone. Add the room name or drawing reference so that the buyer and supplier can discuss the same area.

Identify each fitting type

For every line item, record a unique reference, product type, quantity and intended mounting style. Add the approved model number only when one has been selected. If you are asking the supplier to suggest options, describe the application and performance requirement instead of inventing a model number.

Include useful technical information

Depending on the fitting, the BOQ may need power, verified lumen output, colour temperature, beam angle, dimensions, IP rating, input voltage, control requirement, mounting accessory and finish. Only include the items relevant to that product. Attach the latest drawing or specification document if available.

Separate supply from installation

State whether the request is for product supply only or includes design, installation, cabling, lifting equipment or commissioning. Do not assume these services are included in a product quotation. Ask each bidder to identify any exclusions and assumptions.

Add the commercial information

Include quantity by model, delivery location, required delivery date or project phase, packaging or documentation needs and the person responsible for technical clarifications. For staged projects, note the quantity needed in each phase.

Check before sending

Remove duplicate rows, reconcile totals with the drawings and mark unresolved selections as “to be confirmed”. If a lighting design or compliance standard is required, have the project engineer or qualified lighting professional approve that part of the specification.

Ask for a project quotation

Share the BOQ, drawings that you are allowed to share, location, timeline and whether you need supply only or a wider scope. ALWYS can review the requested lighting categories and discuss availability and pricing based on the information provided.
