How to Compare LED Lighting Quotations Fairly

Compare quotations line by line: exact model, technical specification, quantity, packaging, taxes, freight, schedule, exclusions and written warranty terms.

A quotation is useful only when you understand what each supplier is offering. A lower headline price may refer to a different model, quantity, delivery arrangement or commercial condition.

Build a comparison table

Use one row per fitting type or model. Record the supplier's product reference, quantity, unit price, total, quoted specification and any required accessories. Keep units consistent and make sure all suppliers are pricing the same variant.

Compare technical fit, not just wattage

Depending on the product, useful comparison points may include verified lumen output, dimensions, colour temperature, colour rendering, beam angle, IP rating, voltage, driver compatibility and mounting method. Not every field applies to every product. Ask for the current datasheet when a claim is unclear.

Include all commercial costs

Confirm whether taxes, transport, packaging and unloading are included or excluded. Record the quotation's validity date, payment terms, expected dispatch, delivery address and whether the order can be delivered in stages.

Review the support terms

Compare written warranty conditions, the claim process, required evidence and the steps to resolve shortages or transit damage. Do not infer coverage from a generic statement; ask for the terms that apply to the exact product.

Check exclusions and assumptions

Ask suppliers to highlight substitutions, unconfirmed items, excluded accessories, installation responsibility and dependencies on the buyer. For projects, keep product supply separate from design, installation and commissioning unless the quotation specifically includes them.

Keep the final approval trail

Store the approved quotation with the purchase order and record any changes to model or quantity. Confirm substitutions in writing before dispatch. This helps the receiving team check that the delivered products match what was ordered.

Request a clear quotation

When contacting ALWYS, send the requested product list, exact model or required specification, quantity by item and delivery location. Mention the deadline and any required documents. A well-defined request helps the team respond with the commercial details relevant to that requirement.
