Bulk buying is easier to manage when every supplier quotes against the same requirement. A short written checklist reduces confusion between similar-looking models and helps buyers compare quotations fairly.
1. Define the exact product mix
List each product family, wattage or size, colour option, base or mounting type, voltage and required quantity. Do not use a broad label such as “LED bulb” when a specific configuration is needed. Ask the supplier to identify the quoted model clearly.
2. Compare like-for-like specifications
Review the confirmed light output, power, dimensions, input requirements, colour temperature, colour rendering, IP rating and other details relevant to the application. Not every specification applies to every fitting. If a data point is missing, request the approved datasheet instead of assuming two products are equivalent.
3. Ask about commercial terms
The quotation should state price validity, minimum order quantity, quantity breaks if available, payment terms, expected dispatch or lead time, freight responsibility and delivery location. Confirm whether prices include or exclude taxes and transport, using the supplier's actual quotation.
4. Check packaging and identification
For resale, ask how models and variants are labelled, how cartons are counted, and whether outer packaging identifies the product clearly. Agree how shortages, transit damage or incorrect variants will be reported and resolved.
5. Put after-sales terms in writing
Ask for the actual warranty terms and process for raising a claim. Do not rely on a generic verbal promise; terms may differ by product. Keep the quotation, purchase order, invoice, product identifiers and relevant delivery records together.
6. Compare the full landed cost
A lower unit price may not represent the lowest total cost once freight, packaging, breakage risk, documentation and replenishment time are considered. Compare the same quantity, delivery address and product specifications across each quotation.
